The Occupational Safety and Health Administration (OSHA) works tirelessly to find new ways to keep employees safe on the job. One of the agency’s 2017 initiatives is the electronic submission of injury and illness records.

Compliance Rules and Information

Every company isn’t impacted by this rule, but if your organization has at least 250 employees and is currently required to keep OSHA injury and illness records, listen up. Companies with 20 to 249 employees in specified industries with notoriously high rates of occupational injuries and illnesses are also included.

Under this new requirement, covered establishments with 250 employees or more must electronically submit information from OSHA Forms 300 — Log of Work-Related Injuries and Illnesses — 300A — Summary of Work-Related Injuries and Illnesses — and 301 — Injury and Illness Incident Report.

Also included are covered establishments with 20 to 249 employees. If your organization fits this description, you’re required to electronically submit information from OSHA Form 300A.

Effective Dates

If you weren’t already informed about this new reporting requirement, you’ll need to catch up fast, because it went into effect on Jan. 1, 2017. The phase-in process will take place over two years. All covered establishments were required to submit their completed Form 300A for 2016 by July 1, 2017.

Next year, covered establishments with at least 250 employees will be required to submit data from all completed 2017 forms — including 300A, 300 and 301 — by July 1, 2018. Covered employers with 20 to 249 employees will need to submit data from Form 300A by the same July deadline.

As of 2019, this information will need to be submitted by March 2.

How to Submit Injury and Illness Records Electronically

Submitting this data to OSHA electronically should be a simple, seamless process. The agency has a secure website that offers three different ways to share the information, including:

  • Entering data into a web form manually.
  • Uploading a CSV file.
  • Transmitting data electronically through an API.
